What makes a project commercial rather than domestic?
The line is rarely about the building and almost always about the heat load. A small Guildford office with a server cupboard, ten people and a wall of south-facing glazing can put more demand on a cooling system than a four-bedroom house. Commercial spaces add heat that homes don't: dense occupancy, computers and IT equipment, commercial lighting, kitchens, and large glazed frontages typical of the office blocks around the Surrey Research Park and Woking's business parks.
That changes how we specify the system. Domestic installs are usually one or two splits. Commercial work means sizing for the worst-case heat gain, planning for zoning so different rooms can be controlled independently, and thinking about resilience, because if cooling fails in a comms room or a busy restaurant, it costs the business money the same day. It also brings legal duties, covered later, that simply don't apply at home.
How do I work out the kW load and budget for my premises?
As a very rough rule of thumb, a typical UK office needs in the region of 60-100 watts of cooling per square metre, but that figure moves a lot with glazing, occupancy and equipment. A server or comms room is in a different league again, because the heat is concentrated and runs around the clock. We never quote off floor area alone; a proper heat-load calculation looks at orientation, insulation, the number of people, IT load and ventilation before a single unit is specified.

Split, multi-split or VRF: which system suits commercial use?

Cover three or four rooms from one outdoor unit and you move to a multi-split, which keeps external clutter down and suits smaller offices and hospitality spaces.
Once you are cooling a whole floor, a multi-tenant building or anything with many zones, the right answer is almost always VRF (Variable Refrigerant Flow). VRF runs multiple indoor units off one outdoor system and varies refrigerant flow to match exactly what each zone needs at that moment, which is far more efficient than running fixed-speed units flat out. It also recovers heat from rooms that need cooling and uses it to warm rooms that need heating, a genuine running-cost win in mixed-use buildings. The trade-off is a higher upfront cost and a more involved install, so VRF earns its place on larger or phased projects rather than a single back office.
What are my F-Gas and TM44 compliance duties?
Two obligations catch businesses out. First, F-Gas. Air conditioning uses fluorinated refrigerant gases, and any company carrying out installation, maintenance or decommissioning involving those refrigerants must hold F-Gas company certification (REFCOM is the best-known register). As the system owner, you also have duties: keeping records, and arranging mandatory leak checks on larger systems. Using an uncertified installer is a false economy that can leave you non-compliant.
Second, TM44. Under the Energy Performance of Buildings Regulations, air conditioning systems with an effective rated output over 12kW must have a TM44 inspection by an accredited assessor at least every five years. The report flags efficiency improvements and right-sizing opportunities. It is a legal requirement for the building, and the duty usually sits with the person who controls the system, which brings us to landlords and managing agents.
Landlords and managing agents: who is responsible for what?
In let or multi-tenant commercial property, responsibility for air conditioning is often split, and that is exactly where problems arise. The lease determines who maintains the system, who pays for it (frequently recovered through the service charge), and who holds the TM44 and F-Gas record-keeping duty. In practice the managing agent commonly coordinates servicing across a portfolio, while the freeholder or landlord carries the underlying legal obligation.

A note on grants and planning
You will see claims online that air conditioning qualifies for government grants. It does not. An air conditioner is technically an air-to-air heat pump, but the Boiler Upgrade Scheme only funds air-to-water, ground-source and biomass systems, so there is no current grant for commercial air conditioning. We would rather tell you that plainly than over-promise.
On planning, many installs proceed under permitted development, but commercial premises in Surrey are frequently in conservation areas, listed, or covered by Article 4 directions, and the outdoor unit's noise (judged against MCS 020, broadly 42 dB(A) at the nearest neighbour's window) matters.
